Position Title: Maintenance Clerk
Reports To: Brighton Maintenance Supervisor
Performs general office work to support maintenance department including answering telephones, compiling work order requests, and maintaining files and logs.
ESSENTIAL JOB FUNCTIONS
Answers telephones and documents all pertinent call information. Maintains copies of calls in appropriate message logs. Submits completed telephone logs. Ensures lines are kept open and available for resident requests.
Accepts incoming resident calls and completes computerized work orders.
Compiles work order requests for issuance to staff.
Completes weekly work order tally sheets and submits to management. Issues weekly preventative maintenance (“PM”) work order to lead mechanic for completion.
Edits and maintains work order files.
Maintains clean and orderly work area.
Maintains multi-building access control and parking information on computer.
Dispatches maintenance emergencies via two-way radio to appropriate staff.
Trains new and/or temporary staff on duties including answering telephones, entering work order requests in computer, editing files, filing, operating two-way radio, and other related department tasks.
Maintains maintenance logs for pest control, fire and medical alarms, telephone, visitor, snow removal, and other related logs.
Provides additional administrative support for the Maintenance Supervisor and the department.
Secures office and office equipment at the end of each day. Ensures lunch room coffee pot is turned off and all doors are locked.
OTHER DUTIES AND RESPONSIBILITIES
Performs additional duties, as assigned.
PREPARATION, KNOWLEDGE, SKILLS AND ABILITIES
High school diploma.
Experience with Microsoft Office Suite and general computer proficiency
Fluent in English. Fluency in Russian and/or Chinese preferred.
WORKING CONDITIONS/PHYSICAL DEMANDS
Frequent sitting, standing and walking.
